Exhibitor Move-In

Exhibitor move-in for IPC APEX EXPO is targeted, meaning each exhibitor will be assigned a specific move-in date and time in which their shipments can arrive.  Due to the high volume of exhibitor freight for this event, we use this systematic process for the receipt of freight and delivery to booths which is based on when IPC obtain access to the exhibit halls, the location of booths in the exhibit hall and on specific exhibitor needs.  A scheduled target time means that your freight will begin to be unloaded at some point during your allotted time frame.  Please reference the exhibitor targeted move-In schedule for the move-in date and time in which your shipments can arrive.

Tips for Managing your Targeted Move-in

  • The best way to ensure your freight will be delivered to your booth during your scheduled time is to ship your freight to the Advance Warehouse.
  • Machinery, uncrated items, oversized crates, and single pieces over the weight of 5,000 lbs. cannot be accepted at the advance warehouse and should be shipped directly to show site.
  • All trucks delivering shipments to show site must arrive at the marshaling yard 2 hours prior to the start of the target time. Trucks missing their target time will be unloaded on a first come, first serve basis after all the trucks have unloaded during the allotted target time
  • Do not schedule installation labor until after your scheduled target time.

A Booth Change Request Form must be submitted by companies who wish to be placed on a waiting list for a potential booth relocation or for companies who wish to increase or decrease from the originally contracted booth size.

Please be patient, as not all changes can be made immediately.  You will be contacted as soon as your request can be accommodated.

Please note, if IPC contacts you for a booth relocation you will have 48 hours to respond and confirm the relocation.  If a response is not received within this timeframe, IPC will move on to the next exhibitor on the booth relocation waitlist.

Attendee Lists

Companies that exhibit at the event have the exclusive opportunity to order a copy of the pre-registered and post-show verified attendee lists for the event. Complimentary for IPC Members.

Pre-show List
Available December 30, 2021

Use the pre-registered attendee list to send your show-specific material to motivated and highly qualified individuals, ready to do business with you! This list must be requested by January 19, 2022.
Complimentary to IPC Members and only $500 for Nonmembers.

Post-show List
Available February 23, 2022

After the show, let your investment continue by using the post-show verified attendee list to reach out to those that may not have had the chance to connect with you. This list must requested by March 18, 2022.
Complimentary to IPC Members and only
$1000 for Nonmembers.

Lists will be e-mailed to those exhibitors that order them on the date they are available.

Registration List Policy

All lists are the sole property of IPC. They are available for a one-time use to exhibitors, and are not to be incorporated into the exhibiting company's database in any part. By requesting lists, you agree not to share, sell or copy any part of the list. Publicizing your participation in other trade shows using these lists is expressly forbidden. Companies who violate this policy will be required to use a bonded mail house for three consecutive years following the violations. The mail house will receive the list from IPC for a one-time use only after approval from IPC of the mailing piece. This includes direct mail and e-mail.

Registration lists are provided by e-mail as a Microsoft Excel file. Lists include Name, Title, Company Name, Street Address, City, State/Province, Zip/Postal Code and Country. Lists will not include exhibitor booth staff. E-mail addresses will be included for those attendees that indicate they wish to receive e-mails from exhibitors. You may use these e-mail addresses for a one-time e-mail broadcast only. These individuals may also be included in a one-time hard copy mailing as well.

Hospitality Policy

For over 60 years, IPC has been consistent in its policy requesting that no one conduct or sponsor hospitality suites at IPC events. Any function that is not part of the “official program” is prohibited. The prohibited functions may include but are not limited to: banquets, breakfasts, luncheons, parties, hospitality suites, meetings, seminars, technical programs, sporting events, social functions or any other program during the event, from the first meeting to the close of the event.

What is allowed?

Exhibitors are allowed to meet with their employees and customers. However, any function during the “official program” and event hours is prohibited unless prior approval is granted by IPC. Additional functions allowed, with proper authorization include:

  • Authorized exhibitor networking functions on Wednesday, January 26, 2022, after 6:00 pm.
  • Providing a place where only employees may eat lunch and/or unwind at the end of the day.
  • Staff meetings (training or informational).
  • Sales representative meetings (training or informational).
  • Meetings with your company's distributors or manufacturer's representatives.
  • Holding one-on-one customer meetings.
  • Treating a few customers, ten (10) people maximum (including staff) to a meal.

IPC official hotels are obligated, under the IPC contract, to notify IPC of any requests for function space at their property during the IPC APEX EXPO event. They will require an authorization letter from IPC Show Management in accordance with the IPC Hospitality Policy. Once you have received an authorization, all further correspondence regarding your meeting space and meeting requirements must be communicated directly with the hotel. You are responsible for booking your own meeting room.

Meetings and Exhibitor Networking Functions must receive prior authorization from IPC Show Management. Authorization for your Meeting or Exhibitor Networking Function must be obtained by completing the Meeting Authorization Form. Occasionally, more information is needed in order to process the authorization, which may cause a delay.
