Dear Exhibitor:

As you know, a great deal of detailed planning is required when participating in a trade show. Please make sure to thoroughly read all of the forms and work rules included in the exhibitor manual, as increased knowledge minimizes wasted time and unnecessary expenses. Be sure to review the Deadline Checklist today to ensure you don’t miss those deadlines (they sure can sneak up on you).  Check out the money saving tips included in the manual, to keep your costs down.

Some important information to review includes:

Move-In

In order to facilitate a smooth and efficient move-in, booths have been targeted to arrive on different days and at different times, depending on the size and location of each booth. Make sure to share this information with your carrier and any staff involved with the set-up on-site. Target dates and times are indicated on the Target Move-In Floor Plan.

All booths must be occupied and completely set-up by 6:00 pm on Monday, April 5, 2010. Shepard Exposition Services is authorized to “force set” any display that was delivered but not set-up at this time at the exhibitor’s expense. If exhibit space is not occupied by 6:00 pm on Monday, April 5, the space may be possessed by Show Management for such purposes as they see fit. Exhibitor will be billed for expenses incurred by IPC Show Management to carpet unoccupied space as a result of default in occupancy. Additional information on the move-in process, including the Target Move-In Floor Plan, can be found in the Shipping section of the manual.

Move-Out

Be sure to attend the Move Out Meeting, taking place in the Free Forums booth in booth 2400, at 9:00 am on Thursday, April 8.

Shepard will adhere to the reroute times below in order to clear the exhibit halls by the dates and times dictated by the facility contract:

  • By 9:00 pm on Friday, April 9, 2010 for odd numbered booths in the 1300 aisle through the 2400 aisle,
  • By 12:00 pm on Saturday, April 10, 2010 for booths in aisle 200 through the even numbered booths in aisle 1300.
IPC Show Management has the right, without incurring any liability for damage or loss, to order, at the exhibitor’s expense, the dismantling, packing and shipping of the exhibitor’s property if the exhibitor has failed to do so in the time allotted. Any exhibit materials remaining on the show floor at the deadline check-in times stated above (without a Material Handling form turned in to Shepard and a carrier on site for pick-up) will be forced from the floor and either returned to the advance receiving warehouse or re-routed via a carrier of Shepard’s choosing, at the exhibitor's expense.
